Overview
An integrated media and entertainment company had more than 300 users relying on Tableau for business intelligence. But as adoption grew, the environment had become increasingly difficult to manage.
Processes were not standardized. Governance and monitoring were limited. Security controls needed attention, workbooks were difficult to manage, and users were unclear about which versions to access. Tableau had also not been upgraded for several years, limiting access to newer functionality.
Performance was another challenge. The production environment was being used for both production workloads and user acceptance testing, placing additional pressure on the platform. The Business Intelligence team knew the environment needed to change—but needed external expertise to bring the pieces together.

The client’s Tableau environment faced several interconnected challenges:
- Production and UAT were combined, placing additional load on production.
- Workbook management was inconsistent.
- Standard processes and best practices were lacking.

The Solution
Understand the environment before changing it
Precision began with a detailed discovery exercise, meeting stakeholders across departments including Marketing and Finance to uncover challenges beyond those already identified by the BI team. The findings were consolidated into an overarching scope document that guided the transformation.
Turning usage data into actionable visibility
A Tableau dashboard was developed to provide leadership with visibility into usage by user and workbook. This enabled the team to identify inactive users and reassign licenses, allowing the client to optimize its existing license pool rather than purchase additional licenses.
Bringing governance and performance under control
Precision standardized processes, established governance and addressed security issues around user access. Commonly used data sources were moved from the production environment to Tableau Server, reducing production load while creating a centralized and continuously updated source for users.
Separating testing and enabling continuous improvement
UAT and production environments were separated, allowing teams to test without placing additional demands on production resources. TabMon was introduced to monitor server utilization, with alerts established to help identify performance issues proactively. A Center of Excellence was also created to sustain performance and drive continuous improvement.
